Corporate Move Planning - How to Prep for Peak Season

By Joe Caronna·April 29, 2026·6 min read

If you handle corporate mobility, HR, or office operations, you already know peak moving season is coming. May through early September is the busiest stretch of the year for residential and commercial moves nationwide. For corporate relocation programs, that means tighter availability, higher pricing, and less margin for error.

Here is how to prep your team, your vendors, and your employees so peak season does not catch you off guard.

Why peak season is different

From May through September, demand for moving services climbs sharply. That changes the game in four ways: preferred dates book out weeks in advance, pricing tends to run higher because of demand, lead times on full-service packing and storage stretch out, and flexibility on timeline shrinks for everyone.

For a corporate program, those four pressures hit at the same time the academic calendar drives families to move before the school year. Plan around it or get squeezed by it.

Four challenges that trip up corporate programs

Capacity. Reliable movers book up. If you wait until 30 days out to scope a relocation, your employee may be looking at a Tuesday move because Saturday is gone.

Cost volatility. Peak pricing fluctuates. Locked-in corporate rates with an established partner protect your budget forecast.

Logistics complexity. A single relocation can involve packing, transport, temporary housing, storage, and delivery. Multiply by ten employees and the coordination load gets real.

Employee stress. Relocating is one of the most stressful things a person can do. Add a tight timeline and unclear communication and you end up with a productivity drop on top of the move itself.

Start planning two to four months out

For peak season, three to four months ahead is the sweet spot for any corporate move program. That window lets you evaluate and contract vendors without rushing, brief employees and walk them through your relocation policy, coordinate cross-state logistics including any climate-controlled storage needs, and build in buffer for the inevitable closing date that slips.

Two months is workable. One month is when we start telling corporate clients we cannot guarantee preferred dates.

Partner with one provider, not five

The cleanest corporate move programs run through a single partner with regional coverage and full-service capability. The reason is simple: every vendor handoff is a place something can go wrong.

A good corporate moving partner offers packing, transport, and storage under one roof, dedicated account management (one phone number, one email), regional expertise in the markets you actually move people through, and capacity for both residential employee moves and office relocations.

Castle Express has run corporate relocations across Hartford County, Western Massachusetts, and beyond since 2013. We are family-owned, not a broker or franchise, which means the crew that shows up is our crew, not a subcontractor.

Communicate with employees early and often

Most of the stress employees feel during a relocation comes from not knowing what is happening. You can fix that with simple, repeatable communication: a relocation policy document they can reference any time, a clear timeline from offer letter through delivery day, a single point of contact at the moving company, and packing guidelines and a checklist they can work through.

Make the moving partner part of the conversation. Our team handles relocation calls directly with employees so they get answers in real time, not three days later through three layers of HR.

Use climate-controlled storage as a buffer

Corporate relocations rarely line up perfectly. The lease ends before the new place is ready. The closing slips. The employee starts before housing is sorted. Storage absorbs all of that.

Climate-controlled storage matters more than people think for corporate moves. Reasons we hear most: short-term holds between leases or closings, staging office equipment during a phased transition, protecting electronics and documents during summer humidity, and holding personal goods while an employee is in temporary housing.

Our Enfield, CT facility offers secure, climate-controlled options at flexible terms.

Best practices for peak season success

Streamline the employee experience. White-glove packing through Princess Packing, clear reimbursement guidelines, and an internal liaison for fast question resolution cuts move-day stress dramatically.

Document the workflow. A repeatable process for every move beats reinventing the wheel. Track move dates, vendor communications, and employee check-ins in one place.

Stay in touch with your moving partner. A good partner will give you a heads-up on capacity shifts and pricing trends so you can adapt before issues hit.

Why regional expertise matters

Cross-state moves are where local knowledge pays off. Whether you are relocating talent from Springfield to Hartford, coordinating a multi-site office transition, or moving an executive from Western Mass to Florida, partnering with a regional team gives you familiarity with local building access rules and protocols, better routing and scheduling, access to local storage with climate control, and faster response on last-minute changes.

We know the corridor. We know which downtown Hartford buildings require after-hours moves, which Springfield freight elevators run small, and which Connecticut towns have weight-restricted streets. That knowledge prevents day-of surprises.
